Rely Services, Inc. established in 2002, headquartered in Hoffman Estates, Illinois with offices in Pune, India is seeking for individual for the role of all round Office Manager / Executive Assistant who is hard working, self-motivated and organized. This role is that of a generalist in an office environment with major focus on

  • President's Time Optimization and New Business Projects Management.
  • Office process and cost optimization.

Executive Support to President:

  • Manage Business Projects to be on time and budget.
  • Be an agent of change in the office and push manager and President to close project on time.
  • Screen, sort and prioritize projects each morning to be in line with weekly, monthly and quarterly goals.
  • Set up and implement reminder system for keeping President organized and moving forward.
  • Proficiency in Spanish is mandatory.
  • Anticipate and produce correspondence, documents and deliverables that follow the sales, marketing, new business initiatives and process.
  • Help prepare for meetings with clients, prospects and internal staff.
  • Having knowledge of HR and HR related documentation
  • Proof read and edits the President's correspondence, proposals and documents.
  • Perform errands and handle occasional personal matters.
  • Pitch in wherever needed to optimize President's time.

Office Management:

  • Act as "manager of first impressions" with professional phone manner, personal appearance and office presentation.
  • Develop, implement and update written office policies and procedures.
  • Organize, set up and maintain paper and electronic files for company and business projects.
  • Compose, disseminate office daily reports to President.
  • Maintain databases and records of active projects, lead tracking, vendors subcontractors, clients, prospects, associates and others as needed.
  • Research better option to lower office expenses with alternative options.
  • Maintain and manage special projects, such as developing new deliverables or creating new documents, reports, spreadsheets or forms.
  • Perform errands as needed.

Skills needed:

  • Minimum of 2-3 years office management and executive support experience with progressive responsibilities.
  • Pleasant and cheerful personality with a "can do" attitude.
  • High level of proficiency with Windows operating system, Microsoft Office, Word, Excel, Outlook, Power Point, Internet Research and QuickBooks (not a must).
  • Strong written and verbal communication skills.
  • Professional appearance and manner.
